Overall Job Purpose:

The Team Coordinator for Medical Affairs is responsible for supporting the execution of operational initiatives by the Medical Affairs stakeholders in Western Europe. This role involves support project coordination, and administrative support to ensure the team meets its goals related to their projects. The coordinator plays a critical role in ensuring compliance, efficiency, and collaboration across the field by being the main contact person for Medical Affairs.

Key Responsibilities:

  • Support Medical Affairs stakeholders in the contracting process of service and sponsoring agreements
  • Processing the expenses of Medical Affairs EU team and invoices for services form external stakeholders to Medical Affairs
  • Setting up the travel arrangements for the EU Medical Affairs team.
  • Organize and file medical Affairs records, including medical plans, communication and training documents and decks.
  • Maintain up-to-date and accurate records of product medical communications, publications, and educational materials, ensuring appropriate approvals are documented.
  • Support the branded team in preparing for audits, inspections, and compliance reviews.
  • Attending specific meetings and create minutes and make sure actions are followed up by the stakeholders.
  • Coordinate logistics for medical affairs activities, such as advisory boards, study meetings, key opinion leader (KOL) engagement, and congress participation.
  • Facilitate product medical training sessions and onboarding for internal teams or stakeholders, providing logistical and administrative support, setting up the agenda for medical training and compliance and internal processes.
  • Manage the branded team’s communication calendar, ensuring timely updates to all stakeholders.

Qualifications:

Education:

  • Any degree in (Healthcare or Business) Administration or a related field.

Experience:

  • 2-4 years of experience in a pharmaceutical, or healthcare setting, ideally supporting medical teams.
  • Proven experience in coordinating cross-functional projects and managing stakeholder relationships.

Skills and Competencies:

  • Strong organizational, time management, and multitasking skills.
  • Excellent communication (verbal and written) and interpersonal abilities.
  • Attention to detail and the ability to manage competing priorities in a fast-paced environment.
  • Problem-solving mindset with a proactive approach to supporting branded product objectives.
